Data Quality – Recording Police Certificate Details

With recent advice to staff making reference to the importance of recording Police Certificate (PC) details in AMS, the Quality and Assurance Team thought it would be advantageous to also highlight the need for this data entry requirement.
 
As noted in that advice, immigration officers must update the Character tab in AMS with the police certificate details for all applications. The advice highlights some of the impacts of not recording PC details in AMS. In addition to those previously mentioned, there can be an increase in Return Failed Lodgements and the ability of the Immigration Contact Centre to function well can be affected.

The Quality and Assurance Team also monitors whether PC details have been recorded in AMS. Poor data entry practices impact upon our quality ratings. In the January to March 2016 quarter, process-related errors (which include data entry) rose 54 per cent from the previous quarter. While these errors are less likely to affect the outcome of a visa application, they may have impacts upon other parts of the Immigration New Zealand (INZ) system, or create unnecessary subsequent work.

INZ has worked hard to create an effective visa processing system. Data entry has an important role in that system and we all need to be mindful of the importance of accurate record keeping.
