Notes in AMS for full fee paying students

INZ provides information weekly to the New Zealand Qualifications Authority (NZQA) on the amount of tuition fees students have paid their provider. This is to aid the NZQA in their investigations into student fee protection compliance. The NZQA compares the monetary amount that INZ has on record with what is loaded in the trust accounts. In some cases, the two amounts differ. The NZQA and INZ then decide which agency will deal with the situation.

If the amount a student has paid is not recorded in AMS, the relevant branch is requested to locate the files and find the hardcopy of the receipts. This often becomes a very time consuming tasks for the branches and with the new file destruction processes, it is sometimes impossible.

Action
Please ensure that you record the following information in AMS for all full fee paying students so that this information can be readily available to us when requested: 

  • the name of the provider:
  • the course
  • the amount of fee paid
  • the length fee paid for
  • the date of receipt.


Note
: the above information needs to be added as an application note even if it is recorded in a template. This is because the template notes are often only visible to others in the same branch, which means that Ops staff have to log in to the relevant branch each time. This is time consuming if we have a list to work through and applications are at different branches.
