Sending and collecting documents

If you are sending documents to our office, please ensure that you use a door-to-door courier service. Sending documents by mail / post is not entirely safe and may take a while to reach us.

Once your application has been processed, you will be informed to arrange collection of your passport and any originals. These documents can be collected in person (if you are in Pretoria), by a nominated person or by courier.

If you wish to have a friend or relative collect your documents on your behalf, please note that we will require an authorisation letter from yourself outlining the details of the person you have nominated. On collection, the nominated person must produce evidence of identification.

Couriers are required to provide (on collection) a fully completed air waybill confirming the name, surname and client reference number of the passport holder.

To protect the interests of the passport holder, we will not be able to release any passport / documents if at least one of the above is not met.

Note: Should you fail to contact us and arrange collection of your documents within three months from the date you have been notified of your visa decision, we may send your documents to the nearest issuing authority e.g. South African home office or foreign embassy based in Pretoria.

Customs clearance for visa applications

The Immigration New Zealand office in Pretoria is not able to facilitate customs clearance for documents sent to this office.

Recently some applicants have had their documents impounded by the South African Customs office. The South African Customs office is a South African Government agency and Immigration New Zealand has no influence over its actions or decisions.

South African Customs may impound your documents if:

  • you are not clearly listed as the contact person for the delivery. South African Customs will not accept “Immigration New Zealand” as the contact for your documents, or
  • you state a high monetary value for your documents.

If your documents are impounded by South African Customs, it is your responsibility to secure their release. If payment is required, Immigration New Zealand is not able to make that payment on your behalf.
